Troopa for Microsoft Teams meetings

Troopa works in Microsoft Teams calls from a desktop app beside the Teams app on your Mac or Windows PC. It hears the call through your computer, names each speaker as Teams shows them, answers a question put to it with “Hi Troopa”, and writes the notes once you hang up.

Nothing is installed in Teams and nothing needs your Teams administrator, and nobody on the call needs a Microsoft 365 Copilot licence.

How it works

  1. STEP 1

    Install Troopa beside Teams

Download Troopa for the Mac or Windows PC you use Teams on, and sign in. Nothing in Teams changes.

  2. STEP 2

    Join the Teams meeting

Join from Teams, Outlook or your calendar as usual. Once Teams is using your microphone, Troopa offers to listen in.

  3. STEP 3

    Ask in the call

Say “Hi Troopa” and a question, and the answer appears in Troopa. When you hang up, Troopa writes the notes.

Teams meeting notes without a Copilot licence

Microsoft’s own AI in Teams comes with Microsoft 365 licences. Troopa does not depend on them: it works in any Teams call you join, whoever organised it and whatever licences the people in it hold, and it can run in the same meeting as Copilot.

The notes are Troopa’s own, kept in Troopa in the region your organisation chose rather than in your Microsoft 365 storage. That matters if your organisation wants everything inside Microsoft 365, and the comparison below says so plainly.

Who said what in a Teams call

Teams shows who is speaking, and Troopa reads that from the Teams window while you are in the call: on a Mac through the Accessibility permission, which it asks for once, and on Windows with no permission at all. Each line of the transcript carries the name Teams showed, and your own words come from your microphone.

Troopa never works out who somebody is from their voice, and never stores a voiceprint.

Guests, and telling people

People from outside your organisation need no account, no app and no licence. Troopa shows the other people in a Teams call nothing until you present its window, so tell them you are using it, as you would before recording. In many places the law requires it.

Troopa and Microsoft 365 Copilot

Copilot recaps each Teams meeting well, and it may already be on your bill. Our comparison was checked against Microsoft’s own documentation, and it says where Copilot is the better choice.

Questions

Do we need to add an app to Teams or ask our Teams administrator?

No. Troopa is not installed in Teams and needs nothing from your Teams admin centre: it runs beside Teams on each person’s computer. Linking an Outlook calendar, so Troopa can show your next meeting, is optional and each person’s own choice.

Does Troopa need Microsoft 365 Copilot?

No. Troopa does not use Copilot or any Microsoft licence, and it works the same in a Teams call whether or not anybody in it has Copilot. The two can run in the same meeting.

Does Troopa work with Teams in a browser, or on Ubuntu?

It can listen in, though it knows the Teams app best. In a browser, as on Ubuntu, Troopa offers to listen in when the browser starts using your microphone, and the transcript may not carry names, which Troopa reads from the Teams app.

Can I use Troopa in a Teams meeting somebody else organised?

Yes. Troopa listens from your computer, so it works in any Teams call you join, inside your organisation or outside it. Tell the other people that you are using it.
