Who else processes your data, region by region

A sub-processor is a company that processes your organisation’s data for us. Troopa’s are Amazon Web Services and MongoDB Atlas, which host and store everything in the region you chose, Soniox and AssemblyAI for transcription, Anthropic, OpenAI and TypeSafe for the AI models, Stripe for billing, and PostHog for how the desktop app is used. The apps your people connect to Troopa are listed too, because Troopa sends them a question. Where each one does its work depends on your region, and the table says where.

AnthropicAI models (Claude) that answer questions, write the notes, find the decisions and note what is shared on screen.
Sees the transcript, or the parts of it a request needs, the question asked, passages from documents and connected apps that bear on it, and pictures of the screen, which are not kept.
The United States
OpenAIAI models (GPT) for some of the same work.
Sees what Anthropic’s models see, for the work a region gives it.
The United States (its global endpoint)
TypeSafeAn AI model (Jev) that reads a meeting as it goes, to tell when somebody asks Troopa something and what Troopa should do.
Sees the meeting’s newest lines and who said them, its title and agenda, a short account of it so far, the name of what is on screen and what Troopa last did, never its audio or pictures.
The United States
AnthropicWeb lookups, for a question the meetings cannot answer or a person asks Troopa to look up on the web, with its web search.
Sees the question alone, never the meeting. Web lookups are on by default, and an organisation can turn them off. Troopa uses Anthropic’s search or OpenAI’s, as it is set for the region, and the other if that one fails.
The United States
OpenAIWeb lookups, for a question the meetings cannot answer or a person asks Troopa to look up on the web, with its web search.
Sees the question alone, never the meeting. Web lookups are on by default, and an organisation can turn them off. Troopa uses Anthropic’s search or OpenAI’s, as it is set for the region, and the other if that one fails.
The United States
Connected appsThe apps a person connects, searched with their own access when they ask Troopa something: Notion, Confluence, Jira, Glean, Google Drive, SharePoint, OneDrive, GitHub and Slack.
Sees the question alone, never the meeting. Connectors are on by default, and an organisation can turn them off. Each app is the organisation’s own choice, and Troopa searches it only for a person who connected it.
Wherever the organisation’s own account with each app keeps its data, under its own agreement with that app
StripeSubscriptions and payments.
Sees billing contacts and payment details, and never meeting content.
One account for every region
PostHogHow the desktop app is used: which screens people open and what they click, so we can make Troopa easier to use.
Sees the screens and clicks with every word hidden, the device and its IP address, and the person’s and organisation’s ids, never anything from a meeting; and replays of the app with meeting content masked, every word hidden. Only where we switch it on for your region. A person can turn it off in the desktop app’s Settings, and an organisation for all its people.
Its EU cloud, in FrankfurtIts EU cloud, in FrankfurtIts US cloud, in the United States

Each region uses one of the two transcription services: Soniox by default in the UK and EU regions, and AssemblyAI in the US region.

Troopa copies nothing from the apps it searches. When it keeps an answer for somebody, it keeps the title, link and a short excerpt of each passage the answer cites, in your region. Obsidian is not on the list: the desktop app sends the notes of the vault a person chooses, and Troopa keeps them in your region as that person’s own documents. The privacy policy says more.

Email

Troopa’s emails, such as sign-in links, invitations and the minutes, are sent through one email service per region: Amazon SES, Microsoft 365, Resend or SendGrid. It sees the recipients’ addresses and what the email says. To know which one your region uses, ask at the address below.

Who is not on this list, and why

Microsoft Teams, Zoom and Google Meet host your meetings under your own agreement with them. Troopa does not send them anything they did not already have, so they are not our sub-processors.

Google and Microsoft hold the calendars your people connect, under each person’s own agreement with them. When somebody adds a meeting they made in Troopa to their own calendar, Troopa sends that calendar the meeting they asked it to add, and nothing else, so Google and Microsoft are not our sub-processors either. The privacy policy says what is sent.

Google Analytics and Cloudflare Turnstile run on this website, not in the product, and only for visitors to troopa.ai and related domains. We decide what they are used for, so they are described on the cookie policy and the privacy page instead.

Questions

Who are Troopa’s sub-processors?

Amazon Web Services (hosting, files and keys), MongoDB Atlas (the database), Soniox and AssemblyAI (transcription), Anthropic and OpenAI (the AI models, and web lookups unless an organisation turns them off), TypeSafe (the model that tells when Troopa is asked something), Stripe (billing) and PostHog (how the desktop app is used, where switched on), plus the email service that sends Troopa’s emails and the apps people connect, which are sent a question. The hosting and database are in the region the organisation chose.

Are Microsoft Teams, Zoom and Google Meet sub-processors?

No. They host the meeting itself, under the organisation’s own agreement with them. Troopa does not send them anything they did not already have.

Do the sub-processors differ between regions?

Where they process does. Hosting and the database are in London, Frankfurt or Northern Virginia. Transcription is at the services’ European endpoints for the UK and EU regions and in the United States for the US region. The AI models, from Anthropic, OpenAI and TypeSafe, are reached in the United States for every region.

Does Stripe see meeting content?

No. Stripe handles subscriptions and payments, and sees billing contacts and payment details only.
